ABOUT THE POSITION

The Senior Commercial Real Estate Documentation Manager provides expertise and leads the drafting of all important commercial real estate documentation for our national portfolio. The incumbent plays an instrumental role within the commercial team, as the position is key to be able to complete a leasing transaction successfully and in a timely manner. The Senior Commercial Real Estate Documentation Manager will work closely with the respective Eastern & Western Commercial Real Estate Managers (CREM) as well as the Vice President, Operations & Commercial Real Estate and perform a supporting role in the negotiation of complex commercial real estate transactions.

Key Responsibilities:
▪ Commercial Administration
▪ Draft the various commercial real estate related documents such as LOI, offer to lease, leases, lease renewal amendments, brokerage listing agreements, etc.
▪ Draft all terms and conditions of lease agreements (based on LOI or Offer to Lease).
▪ Abstract and interpret commercial lease documents (leases, amendments, etc.).
▪ Assist in complex commercial real estate transactions from start to finish.
▪ Support the Commercial team in managing all the correspondence, agreements and contracts involved in signing brokerage agreements, leasing premises, or renewing leases – including those in French.
▪ Organize, classify, archive client documentation and files.
▪ Keep track of and manage all active legal files and liaise with external legal counsel.
▪ Liaison with all internal and external parties involved in the transaction.
▪ Coordinate the overall commercial transaction process.
▪ Create important commercial real estate document templates, particularly master lease clauses template.
▪ Prepare and issue all legal correspondence with tenants.
▪ Processing the approvals of agreements and contracts in the organization as well as archiving and some general office administration.
▪ Other Administrative duties as assigned or required by the Vice President, Operations & Commercial Real Estate.
Customer Service
▪ Ensure that a superior level of co-operation, service and support is provided to all commercial tenants, thereby ensuring tenant satisfaction across the entire portfolio.
▪ Maintain good tenant-landlord relations through prompt follow up to tenant queries.

JOB REQUIREMENTS

Education & Experience:
▪ Successful completion of university or post-secondary education in Real Estate, Paralegal/Legal studies or equivalent.
▪ Minimum of 3 years of real estate training and work experience including drafting of legal documents in a commercial real estate company.
▪ Proficient in MS Office Suite (Excel, Word, Outlook).
▪ Experience with Yardi would be an asset.
▪ Experience in a customer service role would be an asset.

Qualifications:
▪ Takes pride in producing and delivering quality work.
▪ A professional demeanor with strong communication skills, both verbal and written in French and English. This includes understanding and interpreting complex commercial lease language in both French and English.
▪ Excellent customer service skills.
▪ Ability to accurately listen, understand and respond to issues appropriately.
▪ Ability to work well and collaborate within a team but act independently as well using good judgment when assessing difficult situations.
▪ High attention to detail and accuracy is critical.
▪ Exceptionally organized and detail oriented.
▪ Ability to work under pressure in order to meet deadlines.
▪ Self-motivated individual with a “can-do” and “no task is too big or too small” attitude.
▪ Superior time management skills with ability to multi-task/prioritize and work under tight timelines.
▪ A demonstrated high degree of integrity, diplomacy, discretion, and confidentiality.
▪ Both written and verbal communication in French and English are required as this role uniquely supports the Commercial team with technical documentation and works closely with non-French speaking stakeholders outside of Quebec. Ability to speak other languages is considered an asset.
